How YachtWorld and Boat Trader leads reach your dealership in 2026, and how to answer them in 60 seconds
By Keelson Intelligence · Updated · 12 min read
YachtWorld and Boat Trader leads land in the BoatWizard Leads page and the dealership's inbox, and since February 2026 Boat Trader sends them to the assigned sales rep by default instead of the office. Every Boats Group lead form has required a phone number since February 2025, so each lead can be answered by text as well as email. Of the lead-submitting households in Boats Group's own study that bought a boat, 42% bought within 90 days, which is why Keelson answers these leads by SMS and email inside 60 seconds, from the dealership's own number and email domain.
Boats Group lead delivery changes, 2025 to 2026
Boats Group changed how marketplace leads reach dealers six times between February 2025 and February 2026. The changes were never announced as one package; they appeared in separate BoatWizard update posts and company news items, which is why many sales managers know about the phone-number requirement but not the routing change that followed a year later.
| Date | Change | What it means for your lead handling |
|---|---|---|
| February 2025 | Phone number required on lead forms across Boat Trader and YachtWorld, shown in LeadSmart reports | Every new lead can be texted as well as emailed; email-only replies leave the faster channel unused |
| April 2025 | Local portal update adds a required phone field; phone verification and stricter form validation announced | Fewer junk numbers, so a first text is more likely to reach a real buyer |
| July 2025 | LeadSmart to add qualifying details to leads to help dealers prioritize | Some leads arrive with intent, location and trade-in answers your first reply can use |
| August 2025 | BoatWizard Leads page shows leads in real time with 12 months of lead history | You can pull a year of lead timestamps and sources to measure response time and close rate |
| November 2025 | Dedicated phone numbers on Boat Detail Pages that bypass office routing, first in the US, Puerto Rico, Canada and the UK | Listing calls ring a specific line, so missed calls need their own follow-up owner |
| February 2026 | Boat Trader leads sent directly to the assigned sales representative instead of the office by default | The rep's inbox, not the shared inbox, is now the bottleneck; plan coverage for days off |
What did not change matters as much. Boats Group's 2025 AI launches were for listings and staff, not buyers: an AI Listing Builder on 11 June 2025, a Market Evaluation Tool in BoatWizard on 17 June 2025 and an internal AI support agent on 4 June 2025. We found no Boats Group feature that replies to a buyer on the dealer's behalf. The marketplace's own help article on lead response, last updated 18 March 2024, still recommends email templates, keyword-triggered auto-responses and a designated “First Responder”, and says nothing about texting.
What a YachtWorld or Boat Trader lead contains in 2026
A 2026 Boats Group lead carries the buyer's contact details, including a required phone number, and on some tiers adds qualifying data. LeadSmart shows a prospect's recent inquiries, and post-lead questionnaires capture buyer intent, location and trade-in details; access to those fields depends on your subscription tier.
| Field | Status as of October 2026 | How the first reply should use it |
|---|---|---|
| Phone number | Required on Boat Trader and YachtWorld forms since February 2025 | Send the first reply by text and email together, within your consent rules |
| Boat inquired about | The listing the buyer contacted you from | Name the boat, its location and one fact from your inventory feed in the first line |
| Buyer message | Free text, often a single question | Answer the question if your feed or policy covers it; otherwise say who will, and when |
| Intent, location, trade-in | Post-lead questionnaire answers in LeadSmart, tier dependent | Skip questions the buyer already answered and ask the next missing one |
| Recent inquiries | LeadSmart shows other boats the prospect asked about | Offer a similar boat on your lot if the first one is sold or pending |
| Assigned rep | Boat Trader routes to the assigned rep by default since February 2026 | Sign the reply with that rep's name so the buyer deals with one person throughout |
Boats Group's help article tells dealers to set auto-responses on subject lines containing “New Lead” or “Used”, which confirms the notification arrives as an email with a predictable subject. That predictability is what lets a CRM or a reply service pick the lead up without anyone opening it. Because the form now collects a phone number, the question of whether you may text the buyer is live on every lead: consent captured at the lead source must be logged, and our texting compliance guide covers TCPA, 10DLC and quiet hours in full.
LeadFlow, BoatWizard and getting Boat Trader leads into your CRM
Boat Trader and YachtWorld leads reach a dealer CRM through LeadFlow, through the lead notification email, or by being worked by hand in BoatWizard. According to Boats Group's Advantage booklet (2024), LeadFlow imports Boats Group leads into a dealer CRM and is included in YachtWorld Select; the Advantage Program tiers are Select, Plus and Advantage, with “lead prioritization” among the features. BoatWizard itself works as a light CRM: Trade Only describes it as designed to track lead correspondence, and Boats Group's BoatWizard page promises real-time lead capture and tracking.
| Path | How it works | Watch for |
|---|---|---|
| BoatWizard Leads page | Reps open leads in BoatWizard, which shows them in real time with 12 months of history | Nothing happens until someone logs in, and there is no record in your main CRM |
| LeadFlow | Boats Group product that imports leads into a dealer CRM; included in YachtWorld Select per the 2024 booklet | Confirm which CRMs your tier supports and how quickly records appear |
| Lead notification email | The email lands in the assigned rep's inbox (the Boat Trader default since February 2026) or a shared inbox | Shared-inbox rules break when routing changes; recheck them after every Boats Group update |
| Structured feed into a CRM (often ADF/XML) | Lead fields passed as a structured file that the dealer CRM imports | Neither Boats Group nor the CRM vendors document this publicly in our research; ask both |
ADF (Auto-lead Data Format) is an XML layout for passing a lead's contact and vehicle fields between systems, created for car dealers and accepted by many dealer CRMs. When Google's AI Mode was asked in October 2026 which tools work with these leads, it said YachtWorld and Boat Trader “route leads similarly, usually via email parsing or direct data feeds” and that Lightspeed ingests leads via ADF/XML (AI Mode answer, observed 27 October 2026). We could not confirm either point from Boats Group or Lightspeed documentation, so treat them as questions for your account managers, not settled facts. We also found no public Boats Group integrations directory or developer program, which means a tool that says it works with YachtWorld is reading the email or the CRM record, not a Boats Group API. Our integrations page lists what Keelson connects to.
What Boat Trader and YachtWorld cost a dealer, and what a lead is worth
Boats Group does not publish dealer or broker pricing, so the most specific public numbers come from a March 2025 dispute reported by Soundings Trade Only. HMY Yacht Sales' director of sales said Boats Group sought to raise HMY's monthly cost to $65,000, a 75% increase, while only 53 of HMY's deals could be tied to a Boats Group lead; the average Boats Group-sourced deal was about $300,000 against an average deal of over $1 million across HMY. A broker at ACY Yachts was told listing costs would double from February, some brokers were moving listings to industry-owned yachtbroker.org and yachtr.com, and Boats Group declined an interview, pointing to a lawsuit over brokers' use of marketplaces. The article reached us only as a search excerpt, so read the original before quoting it.
Boats Group's Boat Trader brand page claims 170,000 leads a month and 9 million shoppers, but volume is not value. Against the cost, Boats Group's own research is the only published evidence of what a marketplace lead is worth. Each study counts households that bought any boat, not boats bought from the dealer who received the lead, so the figures describe the buyer, not your close rate.
| Study year | Finding | Source |
|---|---|---|
| 2014 | Over half of new-boat buyers purchased within two months of an inquiry | Boats Group |
| 2018 (data October 2013 to September 2017, 2.68 million households) | 16.3% bought a boat; of those buyers, 42% bought within 90 days and 33% bought new | Boating Industry |
| 2018 (same study) | 18% of all US new-boat buyers submitted a lead on a Boats Group site first; over 50% for new saltwater fishing boats | Boating Industry |
| 2021 | 17.5% of leads converted, about one in six, and nearly 60% were first-time buyers | Boats Group |
Put the two together with your own numbers. If a rooftop receives 100 marketplace leads a month, the 2021 rate implies roughly 17 or 18 of those households buy a boat from someone, and the 2018 timing implies a large share of the buyers do it inside a quarter. Whether they buy from you depends on who answers first and who keeps following up. Our lead response ROI calculator turns your lead count, close rate and average gross into a monthly figure you can set beside the subscription invoice.
Is Boat Trader worth it? A renewal test for dealers and brokers
Boat Trader is worth renewing when the deals you can trace to its leads cover the subscription with margin to spare. HMY's case shows the test cuts both ways: a large brokerage found too few traced deals at the price asked, while a dealer selling smaller trailerable boats may see a very different ratio. Run the test on your own records before the renewal call.
- Export 12 months of leads from the BoatWizard Leads page, which has kept a year of history since August 2025.
- Match each lead to a CRM record and flag the ones that became a sold deal; total the deals and front-end gross by source (YachtWorld, Boat Trader, boats.com).
- Pull the median time to first reply for the same leads; a slow reply undercounts what the source could have produced.
- Divide 12 months of subscription cost by traced deals to get cost per sold boat, and compare it with your other sources.
- Take the numbers to the renewal; the MRAA online marketplace comparison tool is a useful cross-check on what other marketplaces offer.
Step three is the one most dealers skip. Our lead response statistics show that the last independent marine mystery shop, in 2011, found dealers averaging more than a day to reply to an emailed lead. A marketplace cannot deliver its value if the lead sits until Monday. Brokerages face the same arithmetic with larger tickets; our page for yacht brokers covers the per-broker setup.
How to route YachtWorld and Boat Trader leads to an instant reply
Routing a marketplace lead to an instant reply takes four decisions: where it lands, who owns it, what the first message says, and when a person takes over.
- Where it lands. Pick one entry point per source (the notification email or LeadFlow into your CRM) and stop reps working leads from three places at once.
- Who owns it. Keep the Boat Trader assigned-rep setting, and name a backup for every rep's days off so the February 2026 routing change does not strand leads.
- What the first message says. Name the boat, answer the buyer's question from your inventory feed, ask one qualifying question and offer two times for a sea trial or showroom visit. Our boat sales text templates show the wording.
- When a person takes over. Financing terms, trade values and anything off-script go to the assigned rep with the conversation attached.
This is the job Keelson does. It answers YachtWorld, Boat Trader, boats.com and BoatWizard leads by SMS and email inside 60 seconds, in the dealership's name and from the dealership's own number and email domain, never through marketplace messaging. It answers only from your inventory feed and approved policy, qualifies the buyer on budget, timeline, trade-in, financing need, experience, intended use and home water, and books sea trials and video walkthroughs into Google Calendar or Outlook. The assigned salesperson can take over from a phone at any point, and the manager cockpit shows response time and appointment rate by source, which is the number you need for the renewal test above.
Frequently asked questions
Is Boat Trader worth it for a boat dealer?
It depends on how many sold deals you can trace to its leads. Boats Group's 2021 study found 17.5% of its leads bought a boat, but HMY Yacht Sales said in March 2025 that only 53 of its deals traced to Boats Group leads when the proposed cost was $65,000 a month. Export 12 months of leads from BoatWizard, match them to sold deals, divide cost by deals, and check how fast those leads were answered.
How do Boat Trader leads get into my CRM?
Through one of three routes: Boats Group's LeadFlow product, which imports leads into a dealer CRM and is included in YachtWorld Select per its 2024 booklet; the lead notification email, which a CRM or reply service can read; or manual entry from the BoatWizard Leads page. Ask your Boats Group rep which CRMs your tier supports, and recheck inbox rules after the February 2026 change that routes Boat Trader leads to the assigned rep.
How much does Boat Trader or YachtWorld cost a dealer?
Boats Group does not publish dealer pricing; it is quoted per account. The most specific public figure is from Soundings Trade Only in March 2025, when HMY Yacht Sales said Boats Group sought $65,000 a month, a 75% increase, and an ACY Yachts broker was told listing costs would double. A small dealer's quote will be far lower, so get it in writing and compare it with deals traced to the source.
Can I text a YachtWorld or Boat Trader lead?
Boats Group has required a phone number on Boat Trader and YachtWorld lead forms since February 2025, so most leads include one. Whether you may text depends on the consent the buyer gave at the form, your 10DLC registration and the quiet hours in the buyer's state. Log consent with the lead, honor STOP immediately, and read our texting compliance guide first. This is general information, not legal advice.
Do I need an AI responder if I already have Boats Group LeadFlow?
They do different jobs. LeadFlow moves Boats Group leads into your CRM; it does not write back to the buyer. An AI sales desk such as Keelson replies by text and email inside 60 seconds, qualifies the buyer, books a sea trial and follows up for 90 days, then hands the conversation to a named salesperson. A dealer can run both: LeadFlow for the record, the responder for the reply.
Which tools work with YachtWorld and Boat Trader leads?
We found no public Boats Group integrations directory, so tools work by reading the lead email or the record LeadFlow writes into your CRM. Keelson lists YachtWorld, Boat Trader, boats.com and BoatWizard as lead sources and connects to HubSpot, Salesforce, Lightspeed and DockMaster. Our comparison of AI lead response tools for boat dealers covers how other vendors handle marketplace leads, dated October 2026.
Why are Boat Trader leads going to my salesperson instead of the office?
Boats Group changed the default in February 2026 so that Boat Trader leads go directly to the assigned sales representative rather than the office. That speeds up leads while the rep is working and strands them while the rep is off. Check the assignment settings in BoatWizard, name a backup for each rep, and make sure any reply automation reads the rep's inbox as well as the shared one.
